University Marketing and Communications works with University Departments to develop effective advertising to promote programs and events. Our staff has extensive expertise in developing high quality advertisements for local, provincial, national and international publications.
Our advertising design service is available to all University Departments at no charge. Below, we offer some helpful information to assist you in planning ahead for your advertising needs. To get started, contact us at ext. 3248.
The Human Resources Department is responsible for co-ordinating the development of all staff and faculty recruitment ads. Any Department that requires the placement of recruitment advertising should first contact Human Resources, at ext. 3274. University Marketing and Communications co-ordinates the ad design with Human Resources.
It is important that adequate time, preferably three to four weeks, is provided for the production of advertising artwork.
University Marketing and Communications will develop a production schedule for the artwork with you. This schedule will include time for artwork to be reviewed by the Department.
Unless otherwise agreed, each Department is responsible for the cost of placing advertisements.
The Department must obtain a Purchase Order number from the Finance Office in order to arrange for proper payment. Publications will provide advertising rate information in order to establish a budget for advertising costs.
In order for University Marketing and Communications to begin production of advertising artwork, the Department must book the advertisement with the publication. You will need to confirm the following specifications when booking your ad:
• the width and depth of the ad in inches
• with newspaper advertisements, indicate the section in which the ad will appear
• black and white or colour application
• type of digital file required by the publication for final artwork submission
• deadline for final artwork to publication
The Department is required to submit copy for the advertisement to University Communications. The copy should be submitted as a Microsoft Word document and e-mailed to: kbartel@brocku.ca
Any photography requirements for the advertisement should be discussed with University Marketing and Communications beforehand to be sure of content, composition and reproduction quality.
All final artwork must be approved and signed off by the Department head, or designate, prior to being submitted to the publication.
Once the artwork is approved, University Marketing and Communications will provide you with the electronic file of the advertisement as per the specifications of the publication. It is the Department's responsibility to submit the artwork to the publication.
1. The usual format is to provide artwork as a PDF file. The Department can send the PDF file as an e-mail attachment to the publication with the confirmation of the booking date, specifications and the Purchase Order number. A copy of the approved artwork should be faxed to the publication on the same day that the PDF file is sent.
2. When specified, the artwork can also be provided to the Department as a QuarkXPress file on a CD to be delivered to the publication. A copy of the approved artwork should be included with the CD.
